Job Description
The Marketing and Outreach Project Coordinator supports the Director of Marketing and Outreach by managing cross-functional projects across marketing and events. The role strengthens execution discipline through clear plans, timelines, and stakeholder follow-through. It also provides operational coverage during peak periods and team absences, ensuring continuity and premium stakeholder experience.
Strategic Project Management
- Lead assigned projects from brief to delivery, defining scope, milestones, owners, dependencies, and risks.
- Support the Director with clear project status updates, reporting, and follow-up on action items.
- Act as the central coordination point between teams and maintain visibility on departmental priorities, deliverables, and deadlines; proactively flag risks or bottlenecks and propose practical solutions.
- Reinforce workflows, templates, and best practices to support consistent delivery standards.
- Contribute to continuous improvement by identifying recurring operational gaps and recommending scalable solutions.
- Provide operational coverage during peak periods and team absences, stepping in to keep priority workstreams moving.
Cross Departmental Support
- Provide hands-on support across marketing and events as needed, ensuring timely delivery and consistently high-quality execution.
- Support digital marketing and campaign execution across email, web, paid media, and content channels. Coordinate timelines, approvals, publishing schedules, and basic QA (links, tracking, and form testing) during peak periods.
- Coordinate photo and video production support, including briefing needs, scheduling, logistics, asset collection, version management, and liaison with photographers, videographers, and internal teams.
- Support the production and quality control of Arabic materials, including drafting, reviewing, and adapting content into Arabic.
- Support the team in applying brand guidelines consistently. Maintain a simple QA checklist and approval workflow to protect quality and consistency across materials.
- Support the planning and delivery of priority events when needed - h speaker coordination, registration tracking, run-of-show). Ensure professional communications, seamless logistics, and timely follow-up.
- Coordinate vendors, partners, and internal stakeholders across the Qatar Foundation ecosystem.
Reporting & Analytics
- Prepare consolidated status updates, summaries, and basic reports for the Director.
- Maintain project trackers and calendars in Teams or SharePoint. Ensure key initiatives are tracked in Salesforce Campaigns with UTMs and clean data for reporting.
- Produce weekly performance snapshots and monthly insights reports, including clear recommendations and actions.
- Support market scanning and competitor benchmarking to inform positioning and continuous offer improvement.
- Deliver weekly project status reports.
Qualifications
Education and experience
- Bachelor's degree in marketing, Business, Communications, or related field.
- 5+ years of relevant experience in project management, digital marketing, and/or events.
- Experience in higher education or B2B environments preferred.
Skills and competencies
- Advanced proficiency in Microsoft Office (Word, PowerPoint, Excel).
- Experience with Salesforce (Sales Cloud and/or Marketing Cloud), HubSpot, or similar CRM and marketing automation tools is preferred. Comfortable producing simple reports and dashboards.
- Fluent English and Arabic. French is an advantage.
- Strong verbal and written communication skills, as well as proofreading discipline.
- Excellent interpersonal skills and ability to work collaboratively with diverse stakeholders.
- Ability to coordinate across multiple stakeholders and workstreams with strong attention to detail and quality.

Prerequisite
Eligible candidates must be current residents of Qatar and hold a valid Qatar ID. International applications will not be considered for this role.
