POSITION: Assistant Director, Sales and Sponsorships
DEPARTMENT: Meetings, Exhibits, and Awards

REPORTS TO: Senior Director, Sales and Sponsorships
Position Description:
ACEC is seeking an Assistant Director, Sales and Sponsorships to provide administrative and sales support to the Senior Director, Sales and Sponsorships in the development and execution of the association’s non-dues revenue efforts including recruitment of Affiliate members and administration/execution of exhibit, advertising, and sponsorship products
Key Responsibilities:
- Assists with the production and management of the Spring and Fall association trade shows held in conjunction with the Annual Convention and Fall Conference. Primary contact with exhibitors, service contractor, other related vendors, and venue.
- Manage Digital Advertising accounts for the association’s e-magazine and other digital products including newsletters, association website, podcasts, and email blasts. Includes creation of insertion orders and invoicing.
- Assist the Senior Director with the creation of exhibit and sponsorship prospectuses and other marketing tools and materials. Responsible for data collection and analysis for association demographics to be used in said materials.
- Work with the Senior Director to identify and recruit new exhibit, advertising, sponsorship, and Affiliate member prospects
- In collaboration with the Senior Director, set and achieve team sales goals with emphasis on retention and upselling of existing clients.
- Activate and fulfill benefits of all sold exhibit, advertising, and sponsor packages.
- Build and maintain close relationships with existing exhibitors, advertisers, and sponsors.
- Responsible for the development and management of signage for association events
- Work alongside the Senior Director to manage and maintain the association’s CRM platform. Responsible for data entry, sales reports, and invoicing of all sales activities.
- Manage exhibit and sponsor data interface with mobile app and other vendors, as appropriate.
Operational Duties and Responsibilities
- Serve as main contact for General Services Contractor and all related vendors for association’s exhibits at Annual Convention and Fall Conference.
- Manage and oversee fulfillment of all exhibit and sponsor deliverables.
- Oversee/manage exhibit show rules, floor plan development, and exhibitor point system.
- Exhibitor liaison for move-in, move-out, and service contractor/venue issues.
- Responsible for registration of exhibitor personnel and invoicing of all exhibit-related payments.
- Responsible for the development of media kit, advertising rate card, insertion orders, and advertising agreements.
- Work with communications team to ensure proper and timely placement of all ads.
- Maintain accurate records and sales tracking tools in CRM and association database.
- Create and distribute invoices for all exhibits, advertising, and sponsorship sales; track payments through association database; create and distribute sales and payment reports.
- Determine and coordinate technology solutions to enhance the exhibitor experience.
- Assist the Senior Director to ensure the effectiveness of the Affiliate Advisory Committee and the advancement of the goals of the committee.
- In conjunction with Senior Director, develop and maintain SOPs for sales operations.
Qualifications:
- 3-5 years’ experience in sales and service of exhibits, advertising, and sponsorship programs
- 3-5 years’ experience of show management responsibility
- 3-5 years of ad sales and sponsorship fulfillment
- Proficiency in Microsoft Office Suite; experience with floor plan software; experience with association database entry, management, and reporting
- Proven interpersonal, written, and verbal communications skills
- Strong attention to detail and organizational skills
- Bachelor’s Degree
- CEM certification a plus
- Some travel required

Salary and Compensation:
We offer a competitive salary range of $74,000 - $104,000 annually, commensurate with candidates’ experience and qualifications.
